Job Summary:

The Executive Assistant will support and report to the Wisconsin Public Radio (WPR) Chief Development Officer & Executive Director of the Wisconsin Public Radio Association (WPRA). The WPRA is a not-for-profit organization with the mission of soliciting, receiving, stewarding, and allocating gifts that support Wisconsin Public Radio, a service of the UW-Madison Division of Wisconsin Public Media (WPM) and the Educational Communications Board (ECB). The WPR Development department conducts fundraising, relationship-building, and engagement activities in a collaborative environment through its multiple units: membership, major gifts, planned gifts, corporate support, and finance.

The Executive Assistant will support the Director and the WPRA Board by:
- Facilitating communications (in the department, across the organization, and in the community)
- Managing schedules
- Organizing workflows
- Supporting WPR Development priorities
- Generally assisting with the responsibilities of managing the department and WPRA

The assistant will handle and coordinate a variety of tasks as well as special projects at the discretion of the Director, such as:
- Contributing to and coordinating all aspects of WPRA Board engagement and meetings
- Assisting with special projects and events
- Developing processes to improve workflow and efficiencies between WPRA, UW-Madison, ECB, and other groups
- Supporting state and federal advocacy efforts
- Assisting with other tasks as needed to further WPR Development and WPRA's mission

The appointee must utilize a considerable amount of independent initiative and informed judgment, exercising a high level of administrative problem solving, analytical ability, communication skills, and confidentiality to coordinate and prioritize the work of WPRA and WPR Development. This position has no permanent supervisory responsibilities but may at times supervise an intern. This is a hybrid position that will require on-site presence of 3 days per week in Madison, Wisconsin and statewide travel including overnight visits 2 to 3 times per year.

Responsibilities:

Provides administrative support to leadership in a college or division of the institution in support of unit goals. Utilizes discretion and operates with minimal supervision.
  • 15% Schedules logistics for meetings, conferences, and travel and organizes schedules for a college or division leadership position
  • 25% Compiles, screens, and evaluates correspondence and reports and recommends actions
  • 30% Develops and facilitates communications of varying complexity between various internal and external stakeholders
  • 10% Manages the organization, auditing, security, and confidentiality of records and files
  • 5% Provides stewardship through continuity and consistency in communication between WPR, WPM, and ECB leadership and board members of the WPRA
  • 15% Manages, assists with and/or leads special events and projects for WPR Development as assigned

Qualifications:

REQUIRED QUALIFICATIONS
- Extensive experience using Microsoft Office, Google Docs, and other general office software.
- Experience managing multiple tasks, timelines, and schedules while maintaining high quality work.
- Strong interpersonal skills, including verbal and written communication.
- Strong attention to detail.

PREFERRED QUALIFICATIONS
- Experience scheduling and coordinating meetings.
- Experience working with donors and using customer relationship management (CRM) software.
- Experience handling confidential information.
- Experience drafting presentations of data and information from various sources.
- Demonstrated ability to adhere to recordkeeping policies and procedures.
- General understanding of WPR, public media, state universities, state government, or non-profit organizations.

This is a hybrid position that will require on-site presence of 3 days per week in Madison, WI and statewide travel including overnight visits 2 to 3 times per year.

Salary:

Minimum $62,000 ANNUAL (12 months)
Depending on Qualifications
Expected salary range for this position is $62,000 up to $67,000. Actual pay will depend on experience and qualifications.

Additional Information:

This position will require travel within Wisconsin a few times a year for WPRA Board of Directors meetings and events. The person in this role must have the ability to independently travel to all required locations at agreed upon times. They must also be able to transport any needed materials with them and arrive at the scheduled time for meetings and events.

Travel expenses will be reimbursed as appropriate within UW policies. Please note, any driver must be able to be approved as a UW Authorized Driver to receive mileage reimbursement.
