Job Summary:

This is a multi-functional position which provides critical support to the Program Manager, instructors, and program participants in administering the UW Wisconsin in Washington (WiW), DC Internship Program operated by International Academic Programs (IAP), a unit of the International Division. Wisconsin in Washington is an academic program which serves over 60 UW students a year through spring, fall, and summer term programs. Wisconsin in Washington develops students? professional skills for continued success in the workforce after graduation though internships, coursework and lectures with local experts, and networking with UW alumni and DC professionals from a wide range of themes and sectors. IAP serves as the largest study abroad office at UW-Madison and administers more than 260 campus-wide study abroad and domestic study away programs, annually sending over 2,500 UW-Madison students abroad. Responsibilities:

Provides subject matter expertise in the development and execution of programs within the scope of student learning and development. Organizes the facilitation and development of curriculum design for on-going and new educational initiatives. Strives to create a welcoming, equitable, and inclusive work environment.
  • 40% Creates and maintains schedules, logistics, and resources for one or multiple student affairs programs, activities, and/or services
  • 30% Organizes student-focused programming and resources to promote new and ongoing educational initiatives
  • 10% Serves as a subject matter expert regarding student affairs to internal and external stakeholders
  • 10% Generates and analyzes reports of curricular and unit outcomes
  • 10% Writes, edits, and publishes content for various communication projects and marketing platforms to align with strategic initiatives and established communication campaigns

Tasks:

  • Making logistical arrangements, including for course activities as well as identifying and organizing co-curricular professional development, networking, and DC enrichment activities for student participants
  • Managing office and program activity logistics (such as ordering office supplies, submitting work orders for maintenance issues, purchasing transit passes for students, obtaining building security cards for students, reserving classroom spaces, etc.)
  • Providing support as needed to additional IAP short-term student programs located in Washington, DC, such as the UW Global Gateway Program
  • Providing input on student roommate assignments and mediating student roommate disagreements as needed
  • Co-facilitating orientations and student cohort onboarding
  • Maintaining program social media accounts and platforms (Instagram, LinkedIn, etc.), and supporting campus-based staff with marketing to prospective student participants
  • Supporting the Program Manager in advising/assisting students on/with program matters on-site and communicating back to IAP and relevant units at UW as needed towards managing student affairs and student health and safety related issues
  • Supporting the Program Manager in planning, representing, and promoting the program in Washington, DC, including alumni relations work, staffing program activities, attending program-related events, and hosting campus visitors and program guests.
  • Supporting the Program Manager in coaching students through the internship search and application process with advising catered to student goals and interests
  • Supporting the Program Manager and IAP to ensure that WiW practices are in accordance with all related laws, regulations, and best practices
  • Supporting the Program Manager in identifying and communicating with current and potential internship employers as needed to foster program relationships
  • Supporting Program Manager in developing, managing, and maintaining records for internships, program alumni, and mentors
  • Supporting campus-based staff with creating and editing program materials and content, including webpages, student handbooks, and staff manuals
  • Supporting the Program Manager in mentoring and assigning work to program student staff

Education:

Required
Bachelor's degree required in relevant field.

Qualifications:

1-2 years of experience working in a related field, such as higher education administrative or program coordination experience, strongly preferred. Background in student services, internship outreach and coordination, career readiness/workforce development, event planning and familiarity with Washington, DC is desirable. Experience with data management software and/or an ability and willingness to learn data management programs and tools quickly (such as Microsoft Excel). Knowledge of and experience with social media platforms and messaging is desirable.

It is anticipated this position will be onsite and requires work be performed at an onsite, non-campus work location.

Salary:

Minimum $55,000 ANNUAL (12 months)
Depending on Qualifications
The expected salary for this position is $60,000-$65,000.
