Job Summary:

The Department of Radiology is seeking an Administrative Assistant III to provide administrative support to senior leadership. This position will maintain multiple calendars, schedule meetings, make travel arrangements, and assist with special projects. This position ensures all activities are scheduled, organized, and executed efficiently all while exercising discretion. This position is under general supervision of the Associate Director of Clinical Operations and Engagement, and will assist with the promotion of the research, clinical and education missions.

Responsibilities:

Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
  • 60% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 10% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 10% Prepares and audits complex records, edits documents, and reviews work done by others
  • 15% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 5% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Education:

Preferred

Qualifications:

Required:
-2 years of administrative experience required
-Experience planning, organizing, and scheduling meetings

Preferred:
-Experience working in an academic or clinical environment
-Exceptional customer service skills. Ability to build and maintain effective working relationships with colleagues.
-Excellent time management skills and ability to work quickly and accurately under pressure in a fast paced, deadline oriented environment.
-Detail oriented with excellent organizational skills.
-Excellent written and verbal communication skills.
-Self-motivated and proactive working style, personable and welcoming attitude and proven ability to collaborate effectively.

Work Schedule:

Hours are flexible, and are Monday through Friday, in the range of 8:00am - 4:30pm.

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
