Job Summary:

The Administrative Manager in the Center for Research on Complex Thinking oversees operations and provides administrative leadership for multiple, complex projects and staff. The Administrative Manager works closely with other members of the leadership team on strategic initiatives, operational planning, project management, budget management, internal and external communications, collaborator and client relations, grant proposal preparation and submission, and grant reporting. The Administrative Manager coordinates complex international travel itineraries, sources conference locations, coordinates client relations, and excels in event planning and execution. In addition, the Administrative Manager is the primary liaison with WCER and UW-Madison administrative services and oversees core administrative tasks, including payroll, travel authorization, eReimbursement, and accounts payable/receivable.

The Center for Research on Complex Thinking (CRCT), located within the Wisconsin Center for Education Research, conducts foundational research on learning and assessment and the design of innovative learning analytics tools and immersive educational simulations. CRCT brings together researchers, curriculum designers, software developers, and others to address some of the most pressing educational challenges of the 21st century. Work at CRCT is supported by research grants from the National Science Foundation, the Institute of Education Sciences, and other funding agencies.

Responsibilities:

Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.
  • 15% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 15% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 25% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 15% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 10% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • 20% Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors

Education:

Required
Bachelor's Degree
Degree in Business Administration preferred

Qualifications:

Required Qualification:

Experience with administrative coordination, project management, lab management, or similar tasks
Experience working in an academic research environment, including knowledge of federal grant preparation, compliance and reporting
Experience with change management; ability to identify opportunities for operational improvements and lead process enhancement initiatives
Experience with financial management and budgeting, including forecasting
Experience with purchasing, payroll, intricate travel arrangements (both foreign and domestic), accounts payable/receivable, or similar administrative tasks, with preference for experience with federal and UW–Madison administrative systems and protocols
Advanced expertise with events: budget development, site selection, logistics and program planning, event execution, and post-event reporting
Expertise with Google and Microsoft software, including word processing programs, spreadsheets, and collaboration tools (e.g., Microsoft Teams, Slack)
Excellent organizational and analytical skills
Strong interpersonal skills
Effective oral and written communication; ability to draft and manage communications and operational or logistical guidelines
Ability to thrive in a fast-paced work environment with multiple, complex projects and a fluctuating workload

Work Type:

Full Time: 100%

It is anticipated this position requires work be performed in-person, onsite, at the Educational Sciences building in Madison, WI

Salary:

Minimum $58,000 ANNUAL (12 months)
