Job Summary:

The Office of Research Services (ORS) within the Department of Medicine (DOM) is seeking a Clinical Trial Accountant to manage financial operations for clinical research activities, including industry-sponsored and investigator-initiated studies. This role is critical to ensuring financial accuracy, compliance, and efficiency across the Department’s clinical trial portfolio. 

The Clinical Trial Accountant will collaborate with investigators, research coordinators, industry sponsors, and contract research organizations (CROs) to monitor expenditures, reconcile financial data, oversee research billing compliance, and manage participant payment processes. Responsibilities include reviewing study calendars and budgets for clinical trial billing activities and managing the Advarra participant payment system for DOM research subjects. 

This role requires a high level of attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment. Serving as a central point of contact for clinical trial financial matters, the successful candidate will work closely with DOM leadership and external partners to ensure smooth operations and timely payments.   • This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

  • Terminal, 24 month appointment

  • This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding.

Key Job Responsibilities:

  • Assists principal investigators with financial management of sponsored program budgets and directs day-to-day fiscal transactions
  • Prepares and processes financial reporting and/or invoicing information
  • Provides expertise and advice related to procurement and allowable charges
  • Provides oversight and management of Advarra clinical research participant payment system on behalf of DOM

  • Reviews financial expenditures for accuracy on sponsored grants and contracts
  • Prepares and analyzes financial data, reports and records, identifies discrepancies, investigates, recommends, and implements solutions as needed

The Office of Research Services (ORS) within the Department of Medicine supports clinical research professionals and participants in advancing medical discovery to improve health outcomes across Wisconsin and beyond. ORS provides expert guidance, resources, and infrastructure to facilitate high-quality clinical trials and foster collaboration among investigators, industry partners, and research teams.

Compensation:

The expected salary range for this position is $65,000 up to $90,000 for highly experienced candidates and actual pay within this range will depend on experience and qualifications.

Preferred Qualifications:

  • At least 2 years of experience in accounts payable, accounts receivable, general ledger accounting, and account reconciliations, preferably in a clinical research setting.

  • Experience working with clinical trials, human research, or in a patient care environment.

  • Experience in preparing accurate monthly, quarterly, and/or annual financial reports.

  • Experience with grant and contract procedures and the ability to interpret and apply complex federal, state, and local regulations.

  • Experience in collaborating with multiple depts, study teams, faculty, and external sponsors.

  • Experience working with complex automated accounting systems and processes

Education:

  • Bachelor’s Degree preferred; focus in business/public administration, accounting, or related field preferred
