Job Summary:

Would you love to work with a dedicated team of customer service professionals and see adorable animals daily? Then working in UW Veterinary Care (UWVC) reception is the place for you! We are seeking a compassionate, detail-orientated, and enthusiastic individual to join our front desk team as a Receptionist. This fast paced and exciting opportunity plays a vital role in patient intake and client communications.

As the first point in contact for our clients, you will help set the tone for their experience at the UWVC. Many clients may be stressed or emotional due to their pets condition, so a calm, empathetic, and professional demeanor is essential. This is a challenging yet rewarding support position in the hospital, with the potential to grow your career and communication skills.

They remain calm under pressure, approach challenges with a positive attitude, and enjoy working collaboratively in a fast-paced hospital environment.

This position is full-time, 40 hours a week between the hours of 7:00am - 7:00pm, including every other weekend (either Saturday or Sunday). Join us!

Key Job Responsibilities:

  • Provides day-to-day operational support to medical work unit personnel (15%)
  • Receives, submits, and responds to inquiries according to established policies and procedures (10%)
  • Serves as a cashier, collecting and accurately recording all cash/credit transactions associated with a veterinary healthcare facility (5%)
  • Maintains appearance and cleanliness of the reception and client waiting areas of the hospital (5%)
  • Provides operational phone support within an emergency medical facility (5%)
  • Prepares documents for patient admissions and appointments (5%)
  • Provides support to the billing functions of UWVC (5%)
  • Serves as front desk staff within a healthcare facility or clinic (40%)
  • Greets patients, schedules appointments, maintains calendars, schedules tests, and makes referrals according to instructions (10%)

Compensation:

The starting hourly rate for the position is $20.00 (but is negotiable based on experience and qualifications).

In addition to your competitive base compensation, earn additional compensation for working night and weekend shifts in addition to the UW-Madison hourly differential.

Required Qualifications:

  • At least one year of customer-facing customer service experience

  • Experience working in a fast-paced environment

  • Comfort with computers, answering phones, and willingness to learn hospital software

  • A positive and friendly attitude with dedication to patient and client satisfaction

  • Proven experience being a reliable team member

Preferred Qualifications:

  • Reception experience

  • Experience in a veterinary, healthcare, or other client-facing professional environment

  • Knowledge of medical or veterinary terminology

  • Experience answering high-volume or multi-line phones

  • Experience with billing, processing payments, or handling cash transactions

Education:

  • High School Diploma or Equivalent Required

  • Associate's Degree Preferred
