Job Summary:

The UW CHW Portfolio Operations Coordinator provides high‑level project management and operational coordination for a large‑scale, statewide Community Health Worker (CHW) workforce development portfolio administered by the UW Population Health Institute.

Grounded in core CHW values—trust, community partnership, and accountability to CHW leadership—this position oversees the day‑to‑day operations of CHW Workforce development as part of the  Rural Health Transformation Program (RHTP), including coordination with approximately 50 funded organizations across Wisconsin. Key responsibilities include managing project timelines and deliverables, tracking and documenting training and technical assistance (TTA), coordinating meetings and convenings, supporting required reporting, and maintaining shared operational systems and resources.

Working closely with senior program leadership, the Operations Coordinator ensures efficient, compliant program execution while supporting CHW‑led practice and building the infrastructure necessary to sustain and strengthen the CHW workforce in rural and underserved communities.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Candidates who demonstrate the following knowledge, skills, and abilities will be given first consideration:

Knowledge

  • Knowledge of Community Health Worker (CHW) core roles, standards, and values, including trust‑building, community accountability, cultural humility, and the importance of CHW‑led practice and decision‑making.
  • Knowledge of statewide CHW workforce and infrastructure efforts across the US, including training and technical assistance (TTA) models, multi‑partner collaborations, and CHW sustainability strategies.
  • Knowledge of grant‑funded program operations, including federal and state contract requirements, reporting expectations, and documentation standards.
  • Knowledge of basic fiscal processes in complex institutions, including budgeting, expense tracking, and collaboration with fiscal staff to ensure compliance.
  • Knowledge of UW or similar higher‑education administrative environments, including shared governance structures, institutional policies, and cross‑unit coordination.

Skills

  • Skill in coordinating multi‑site, community‑based programs while maintaining respect for CHW roles, workloads, and community context.
  • Skill in tracking budgets, deliverables, and timelines across multiple funding streams and partners, with attention to accuracy and compliance.
  • Skill in maintaining organized operational systems, including spreadsheets, trackers, shared resource repositories, and documentation required for reporting and evaluation.
  • Skill in clear, respectful communication with CHWs, community‑based organizations, funders, and university administrators.
  • Skill in translating CHW‑informed priorities into operational processes, ensuring that administrative requirements do not undermine CHW values or practice.

Abilities

  • Ability to balance CHW movement values with institutional compliance requirements, navigating both community‑centered work and formal administrative systems.
  • Ability to support fiscal and administrative processes (e.g., invoicing coordination, expenditure tracking, reporting support) in partnership with UW fiscal and administrative staff.
  • Ability to manage multiple priorities simultaneously while meeting deadlines and maintaining high standards of accuracy and follow‑through.
  • Ability to work collaboratively across disciplines and power structures, including CHWs, academic staff, government partners, and funders.
  • Ability to anticipate operational needs and proactively problem‑solve, supporting smooth program implementation and reducing administrative burden on CHWs and partners.

Key Job Responsibilities:

  • Identifies, promotes, and maintains internal and external partnerships to promote the outreach program
  • Establishes, monitors, coordinates, and controls project budgets versus actual expenditures and budget reporting

Coordinates and supports communications efforts

  • Schedules day-to-day activities for program staff and student and community volunteers
  • Directs the implementation of program policies and procedures
  • Schedules and secures logistics and resources in support of an outreach program

Compensation:

The starting salary for the position is $60,000  annually; but is negotiable based on experience and qualifications.

Required Qualifications:

  • Demonstrated experience working with Community Health Workers (CHWs) or CHW‑led organizations, initiatives, or workforce development efforts.
  • Experience coordinating complex projects or programs, including managing timelines, deliverables, meetings, and documentation for multiple stakeholders.
  • Demonstrated understanding of CHW values and practice including respect for CHW‑led models.
  • Experience supporting administrative and operational processes, such as tracking deliverables, maintaining documentation, coordinating reporting, or working within state grant‑funded programs.
  • Strong organizational and communication skills, with ability to manage multiple priorities, meet deadlines, and communicate effectively with community partners and institutional staff.
  • Familiarity with UW–Madison, UW System, or similar higher‑education administrative and fiscal processes, including working with finance, HR, or sponsored programs staff.
  • Proficiency with common office and collaboration tools (e.g., Microsoft Office, Google Workspace, spreadsheets, shared document platforms), including webinar support and production.

Preferred Qualifications:

  • Lived or professional experience as a Community Health Worker or Community Health Worker Ally.
  • Experience developing or maintaining operational systems (e.g., trackers, shared resource repositories, standardized templates, or internal workflows).
  • Experience coordinating training and technical assistance (TTA) initiatives, learning collaboratives, or community‑based capacity‑building efforts.
  • Experience supporting grantee or subcontractor coordination, including communication with multiple organizations across geographic regions.
  • Experience working with state or federally funded grants, including tracking activities, supporting budgets or expenditures, and assisting with required reporting.
  • Ability to navigate institutional requirements while centering community and CHW priorities, ensuring administrative processes support—rather than undermine—CHW practice.

Education:

Bachelor Degree preferred; focus in public health, community health, social work, or a related field preferred.
