Job Summary:

Reporting to the senior associate dean for basic research, biotechnology and graduate studies, the assistant director will develop a strategic space utilization analysis; implement a model to address long-term space utilization needs; and advance sustainable solutions. The assistant director will serve as the SMPH space utilization liaison to the school's departments/centers/units, UW-Madison's Space Management Office, and UW Health. This is a new position; we are seeking a strategic problem-solver with an analytical mindset who will lead the school's efforts to use its space most efficiently.

This is what we're looking for:

[1] Space planning and policy leadership Work in collaboration with stakeholders to develop and maintain processes and procedures to improve the school's space utilization operations; design, implement and evaluate operations to align with the office's strategic direction; and ensure the office effectively supports the needs of the school's faculty, staff, learners and external partners.

[2] Baseline facility information and analysis Establish an accurate record of how space is currently allocated; analyze space usage, personnel data, and fiscal/grants data; and make recommendations to the senior associate dean for improved efficiency and productivity of space. Oversee implementation of Facilities Management Systems (FM: Systems), an industry-standard software used by UW Health and UW-Madison.

[3] Data management and reporting Lead and oversee SMPH space data management. Develop reporting, analytics, and visualizations in partnership with SMPH, UW Health, and UW-Madison resources and ensure that necessary data resources are in place including incoming and outgoing data feeds, data warehousing, and other data integrations in accordance with best practices and UW-Madison data governance guidelines.

Responsibilities:

Assists in the development and implementation of facilities planning initiatives and guides the work of staff responsible for collecting, organizing, verifying, and reporting facilities data to provide informed solutions promoting the effective utilization of resources and provide facility planning solutions.
  • 20% Assists with the development and execution of strategic facilities planning analysis and research to determine long term facility needs
  • 25% Schedules logistics and secures resources to resolve institutional facility issues, recommending alternatives where necessary
  • 5% Serves as the unit liaison to internal and external stakeholder groups providing organizational information to ensure timely and safe transitioning of major construction or remodeling projects
  • 20% Assists with developing operating policies and procedures to comply with regulations, best practices, and institutional objectives
  • 10% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 20% Work in partnership with the Senior Associate Dean for Basic Research, Biotechnology and Graduate Studies to analyze and manage allocation of the school's physical space

Qualifications:

Required Qualifications
- Minimum 3 years of professional experience

Preferred Qualifications
- Professional experience in space utilization or related field
- Experience with and understanding of data management and analytics and their value to strategic decision making
- Direct, hands-on experience with database administration
- Professional experience in higher education
- Experience with and understanding of project management demonstrated by successful project delivery and satisfied stakeholders
- Experience supervising professional staff
- Excellent written communication skills, including ability to write with clarity, accuracy, and brevity

Work Type:

Full or Part Time: 80% - 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $96,220 ANNUAL (12 months)

The starting salary for the position is $96,220 but is negotiable based on experience and qualifications.
