Job Summary:

University Housing is now hiring! We are looking for a professional interested in working in a student services role which requires software and data management skills.

The successful candidate will demonstrate end-user ability to use a complex database (StarRez) to serve our students and staff.

The Assignments and Student Services Coordinator advises students and their families in preparation for their residential experience at the University by directing activities related to contracting and assignment and meeting Division occupancy goals including learning and theme communities.

Responsibilities:

Advises students and families in planning and preparing for living in university managed housing. Directs activities related to contracting and leasing of housing units and making assignments. Serves as a key component of the division's outreach, both with prospective students and families, as well as collaborating with campus offices. Provides leadership and consultation with sensitive housing-related initiatives and divisional housing-initiatives.
  • 20% Advises internal and external stakeholders about housing units, contracts, and options
  • 10% Strategizes, advises, and resolves complicated and sensitive housing-related issues, policy questions, requests, and appeals, including matters related to student resident disabilities and gender identity
  • 5% Drafts, implements, and maintains annual contracts and memos with a variety of campus programs and academic departments
  • 5% Leads divisional outreach efforts with prospective students and families, including the housing tour program
  • 15% Analyzes data for housing assignments and develops solutions for student issues
  • 15% Plans, directs, and implements housing initiatives and manages occupancy for all university terms
  • 5% Collaborates with campus groups and/or departments and maintains successful campus partnerships, while representing the interests of the division
  • 5% May supervise student employees
  • 20% Assists in management of the day-to-day operations in the Housing information System including inquiries, data verification, report writings, and process management

Tasks:

  • Act as a primary representative for the Division of University Housing at admissions presentations to high school students and their families.
  • Administer and/or assist with a mass assignment process for close to 8,000 new students as well as returning resident sign up process for 900-1000 students.
  • Analyze, map processes, and strategize with housing information systems and campus technology staff in developing and maintaining effective processes and programs to maximize administrative functionality and enhance the end user experience.
  • Collaborate with the Division of Continuing Studies and other campus partners on housing related issues in support of campus initiatives to increase summer term participation.
  • Independently resolve non-routine concerns with housing issues, scholarship programs, residential learning communities, policy questions, and appeals raised by students, family members, or university faculty and staff.
  • Test, troubleshoot, and monitor UW-Madison's housing information system including the My UW Housing portal to ensure accuracy of data and positive end user experience.
  • Audit housing information system for accuracy.
  • Monitor system upgrades and opportunities for improved processes.
  • Respond to data requests and develop reports as needed.
  • Consult with division staff on critical processes and activities in the system.

Education:

Required
Bachelor's Degree or equivalent combination of training and experience

Preferred
Master's Degree in a higher education field (student affairs, educational leadership, etc.)

Qualifications:

Required Qualifications:
- Two (2) years of prior experience working in a database management system.

Preferred Qualifications:
- Two (2) years of prior experience in Student Housing/Residence Life
- Administrative experience with a Housing Information System (e.g. StarRez)

Work Type:

Full Time: 100%

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

During the initial training period this position is anticipated to work primarily onsite, with the possibility of additional flexibility after the first 12 months.

Salary:

Minimum $59,500 ANNUAL (12 months)
Depending on Qualifications
This is a full-time appointment. The starting annual salary is $59,500 or higher based on qualifications and includes a competitive retirement and benefits package.

Additional Information:

Primary schedule for this position is 7:45am - 4:30pm, Monday through Friday including occasional evening responsibilities based on operational need. Schedule alterations as operations and position expectations demand. Schedule will be determined upon hire.
