Applications and Interviews

Important notes about job postings:

  • Jobs are required to be posted online, and applications must be collected online. 
  • Job posting times vary. Review each job posting for information on the application deadline.
  • There’s no limit to how many jobs you can apply for, but each application must be submitted individually.
  • Review the Frequently Asked Questions for more information on applying for Jobs at UW.

  • The 'How to Apply' section of the job posting lists the required application materials. Be sure to review this section carefully and upload all requested documents, such as a resume and cover letter, to ensure your application is considered.
  • UW-Madison does not use AI to evaluate candidate materials. Every application is reviewed by a hiring team!
  • You can check the status of your application by logging into your applicant account.

 

Interview Tips

  • Learn about the division and/or department by visiting their website, checking social media, and reading relevant articles.
  • Review the job description. Understand the responsibilities and think about how your experience aligns.
  • Know the logistics.
    • For in-person interviews, plan enough travel time to arrive a few minutes early.
    • For phone interviews, choose a quiet location.
    • For virtual interviews, test the platform (e.g., Zoom, Microsoft Teams) ahead of time. Make sure your camera and microphone work properly.
  • Be ready to take notes. Bring a notebook and pen or be prepared to take notes digitally.
  • Ask questions. Don’t hesitate to ask for clarification if a question isn’t clear.

Common types of interview questions include general inquiries, behavioral, situational, and technical questions. Examples include:

  • Why are you interested in this position?
  • What project are you proud of, and how did you contribute to the project?
  • Tell us about a time when...
  • What would you do if you were asked to complete a task but weren't sure how to complete it?
  • What coding language are you most comfortable with?


Have questions prepared for the interview team. Examples include:

  • What professional development opportunities are available for this position?
  • What qualities do you look for in a new hire?
  • What do you enjoy most about working on this team?

Terminology and Search Help

Employment Categories

UW-Madison's employment categories help determine the appropriate benefits and overtime status for job titles. Most full-time staff are either Limited Appointees (LI), Academic Staff (AS), or University Staff (US).  

  • University Staff: An employee who is non-exempt from the overtime provisions of the federal Fair Labor Standards Act (FLSA) and therefore is eligible to receive overtime for all hours worked over forty in a pay period. 
  • Academic Staff: A professional and administrative employee whose duties are exempt from the overtime provisions of the federal FLSA. 
  • Limited Appointee: A special appointment to a designated administrative position that is not an academic staff appointment. A limited appointee serves at the discretion of the authorized official who made the appointment.
  • Faculty: A person who holds the rank of professor, associate professor, assistant professor, or instructor in an academic department or its functional equivalent.

Appointment Types

  • Regular: Ongoing/renewable for Faculty, Academic Staff, Limited, and University Staff.
    Except for Limited Appointees, employment is permanent and can only be ended for just cause, funding loss, organizational change, shortage of work, medical separation, or resignation. An employee gains ongoing job security after passing probation.
  • Temporary: Temporary employee (TE).
    A position with no expectation of continued employment, that is nonexempt under the Fair Labor Standards Act, and lasts one year or less (based on the start date of the appointment).
  • Terminal: Fixed-Term Terminal Academic Staff and Fixed-Term Finite University Staff.
    Terminal appointments are made when there is no expectation of continuing employment. The offer letter will specify the appointment termination date.
