Job Summary:

The Student Orientation Advising and Registration (SOAR) program within the Office of Student Transition and Family Engagement (OSTFE) includes in-person and virtual components that engage every new undergraduate, facilitating their introduction to campus life, academic advising, and course enrollment. The Operations Specialist position will develop program content; manage logistics and data; supervise student leaders; and assess program effectiveness in collaboration with the rest of the OSTFE team and critical campus partners.

The Operations Specialist will focus on developing processes and procedures related to SOAR. This position will coordinate with advising units and technical staff to review and support systems such as the SOAR Reservation System and Preparing for SOAR to ensure an optimal experience for SOAR registration and advising. This role will also support programming efforts related to the SOAR experience for both students and their families. Additionally, this position will supervise front desk staff for SOAR in the summer and the OSTFE office during the school year.

Responsibilities:

Provides subject matter expertise in the development and execution of programs within the scope of student learning and development. Organizes the facilitation and development of curriculum design for on-going and new educational initiatives. Strives to create a welcoming, equitable, and inclusive work environment.
  • 30% Creates and maintains schedules, logistics, and resources for one or multiple student affairs programs, activities, and/or services
  • 20% Organizes student-focused programming and resources to promote new and ongoing educational initiatives
  • 10% Serves as a subject matter expert regarding student affairs to internal and external stakeholders
  • 10% Generates and analyzes reports of curricular and unit outcomes
  • 10% Writes, edits, and publishes content for various communication projects and marketing platforms to align with strategic initiatives and established communication campaigns
  • 20% ay exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked by student staff.

Tasks:

  • Manage detailed operations and logistics for in-person and virtual Orientation and Transition programming
  • Assist in developing and implementing in-person and virtual Orientation and Transition programming for new undergraduate students and their families
  • Train and supervise student staff
  • Analyze feedback data and evaluate program success and recommend future improvements
  • Serve as liaison to campus partners in support of new students
  • Coordinate effective communication strategies for internal and external audiences
  • Monitor, propose, and implement operational policies and procedures
  • Serve on departmental, student affairs, and campus committees as needed
  • Coordinate effective communication strategies for internal and external audiences

Qualifications:

Minimum Qualifications:
1+ years of experience creating or managing student-focused programs in Higher Education or related setting
Experience in managing logistics of complex programs and/or processes

Preferred Qualifications:
Strong written and oral communication skills
Detailed organizational skills
Strong facilitation skills and ability to work effectively with numerous stakeholders.                            Demonstrated ability to work independently and as part of a team
Experience supervising student staff
Experience in the development of educational program content

Work Type:

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely at an offsite, non-campus work location upon supervisor and department/Student Affairs division approval.

Salary:

Minimum $54,000 ANNUAL (12 months)
Depending on Qualifications
The expected minimum starting salary for this position is $54,000.00 annually. Actual pay will depend on experience and qualifications. The Office of Student Transition and Family Engagement (OSTFE) helps incoming students and their families adjust to life at UW-Madison, while educating faculty and staff on ways to connect with first-year students. Our mission is to understand and improve a student's first year at UW-Madison. We are the campus leader and primary resource on the subject of student transition to UW-Madison. OSTFE supports students in self-reflection and active learning inside and outside of the classroom as they create the foundation for their Wisconsin Experience. We facilitate this process through a long-term inclusive strategy of intentional programming, on-going services, communication, and collaboration with faculty and staff.
